Privacy Statement
CACE, its group companies and where applicable CACE joint venture entities and/or partners (together the “CACE” or “we” or “us”) will use the personal data about you that we obtain from you in accordance with this Recruitment Process Privacy Statement (“Privacy Statement”) and our corporate group website privacy notice at: https://www.cace.co.uk/privacy (“Group Privacy Notice”) as part of our recruitment process in order to assess the role you’re applying for and keep you updated about the recruitment process. This Privacy Statement should be read in conjunction with our Group Privacy Notice but shall take precedence over the Group Privacy Notice in the event of any inconsistency or conflict.
CACE is a “Controller” under the Data Protection Act 2018 and General Data Protection Regulation (EU 2016/679) (“Data Protection Laws”).
Personal Data Processed
Personal data is information which identifies (or which could, with other information that we
hold or are likely to hold, identify) a living individual.
When you apply for a role or register your interest in careers at CACE we will collect your personal data such as:
· your name, contact telephone number, email, postal address.
· employment details such as: your employment history, length of service or curriculum vitae information provided by you in relation to a role at CACE.
Please note: although not mandated by CACE your employment details and curriculum vitae information may also include ‘sensitive personal data’ or ‘special categories of personal data’ as defined under the Data Protection Laws where you have chosen to include this, such as, for example
information relating to your race and ethnicity, trade union membership, a disability or mental health.
As part of the application and recruitment process we will also require:
· a copy of your passport or identification documentation for identification and right to work verification purposes and
· sensitive personal data from you in terms of confirmation on whether you have or do not have a criminal record that is not legally spent.
Diversity Information
The application and recruitment process also includes fields requested on an optional basis for:
diversity information with
· date of birth
· gender
· nationality
· race
· ethnicity
· disability
· sexual orientation
It is our policy not to discriminate against any applicant. The gathering of the above diversity information re: is optional, there is no obligation on you as an applicant to provide this and we will never use this in the recruitment and selection process. If you opt to provide diversity information such as Date of Birth, Gender, Nationality this Information is gathered solely for diversity monitoring and reporting purposes. Any reporting of such diversity information shall only be carried out on an anonymised basis.
Use Made of Personal Data
CACE will process the above personal data for the following specified purposes:
To enable our Resourcing team to contact you and help to determine your suitability for the role(s);
To share your CV and application information with other employees within CACE with
a need to access such information (for example hiring managers and team members within the shared service centre) for the purposes of the recruitment review process;
To transfer or share your personal data within the CACE Group and with CACE third party joint venture partner entities where necessary for the purposes of the recruitment review process;
CACE nominated third party provider from time to time for testing and assessment of emerging talent applications where relevant for the applicable vacancy or role
(“Specified Purposes”)
Legal Basis for Processing
CACE is committed to compliance with the Data Protection Laws. Data Protection Laws require that we meet certain conditions before we are allowed to use your personal data as described in this Privacy Statement.
For the purposes set out in this Privacy Statement we will only process your personal data and/or
any ‘sensitive personal data’ or ‘special categories of personal data’ that you submit to us such as where applicable confirmation of any criminal record data relating to you or race, ethnicity or diversity data that you choose to submit during the recruitment process where permitted under the lawful basis under Article 6(a) of the GDPR i.e. where you have provided clear consent for CACE to process such personal data for a specific purposes and under the processing condition in
Article 9(2)(a) of the GDPR i.e. you have given explicit consent to such processing for one or more of the specified purposes set out in this Privacy Statement in each case by clicking ‘Yes’ to the consent form set out below.
Right to Object or to withdraw consent to Processing
If you do not consent to CACE processing your personal data pursuant to this Privacy Statement you must notify CACE at dataprotection@cace.co.uk and CACE will cease processing your personal data.
Please note: if you withdraw consent or object to the processing of your personal data for the Purposes set out under this Privacy Statement we will not be able to continue processing any application you may have made for a role.
Third Parties
When you give us information or personal data about a third party e.g. your spouse or children, you confirm that they have appointed you to act for them, that you have a valid legal basis for providing their personal data and that they agree to the processing of their personal data by us and that you have informed them of our identity and the purposes (as set out above) for which their personal data will be processed.
Where we store your personal data:
In accordance with our Group Privacy Notice, all personal data you provide to us via the application and recruitment process is stored on systems with appropriate technical and organisational security measures and controls located within the European Economic Area which are sufficient to comply with Data Protection Laws. We will only store your personal data for as long as necessary for CACE to process such personal data for the purposes set out in this Privacy Notice and will store your personal data for a retention period of 12(twelve) month from the date of the outcome of your application is notified to you unless you request for your data to be removed sooner and as otherwise specified in accordance with CACE internal retention policies and procedures
